Welcome Center Receptionist

The Ark, an iconic presence in Chicago, has helped the Chicago Jewish community with various life situations for 50 years and continues to grow. We are now hiring a Receptionist to greet our clients, volunteers, and visitors in The Ark’s new Welcome Center and to perform various clerical tasks. This position has the potential for increased hours.

As a key team member and initial point of contact for our organization, the ideal candidate will create a positive, welcoming and helpful first impression with a sincere effort to assist all incoming visitors. This individual will play a major role in setting the initial tone for the Ark. This person will report directly to the Welcome Center Manager. Hours:

  • Monday, Tuesday, Wednesday — 9:30 a.m.-3:00 p.m. 
  • Thursday — 9:30 a.m.-3:00 p.m. with additional hours 3:00-7:00 p.m. every other week 
  • Friday — 9:30 a.m.-2:00 p.m.
  • Saturday — The Ark is closed 
  • Sunday — Occasional request for coverage during events/meetings 

Salary: 

Salary to be determined based on experience.

Job Responsibilities:    

  • Greeting, welcoming, and directing visitors appropriately  
  • Register visitors in visitor-management system   
  • Notify relevant employees when visitors arrive   
  • Answer incoming calls, provide relevant information, answer questions, and transfer accordingly 
  • Manage calendar & act as on-site coordinator for internal evening events and occasional outside guests using Ark meeting space 
  • Ensure the Welcome Center is always organized, clean, and presentable 
  • Accept and distribute mail and packages accordingly   
  • Assist with Room Reservation System    
  • Communicate with staff in all departments regarding the needs of visitors and guests 
  • Maintain confidentiality of Ark clients at all times   

Qualifications and Skills:    

  • Bachelor’s degree preferred and/or 3 years’ experience  
  • Strong communication skills with aptitude for detail, organization, and prioritization   
  • High level of professionalism, flexibility, and courtesy including in times of stress  
  • Respect, courtesy, and sensitivity for all clients regardless of level of religious observance  
  • Excellent time-management skills   
  • Works in a collaborative style with ability to multitask and adapt to changes in  procedure  
  • Proficient in Microsoft Office, including Microsoft Teams  
  • Aptitude for learning new technology systems, including CRM system (Salesforce) and High-Tech check-in system (Envoy)

Physical Requirements:  

  • Must have ability to work primarily in a seated position, lift up to 15 lbs., and have mobility to move throughout the building as needed
