Food Pantry Administrator (Temporary)

For over 50 years, The Ark has been the only organization to provide free, comprehensive human services to Chicagoland’s large and diverse Jewish community. If you are interested in addressing and helping with food insecurity in the Jewish community, we encourage you to consider a new short-term role (March-May 2024) with The Ark’s Pantry Team located in West Rogers Park (Chicago). The selected candidate will help support The Ark’s pantry program, ensure a positive and seamless process for Ark clients, and have substantial interaction with staff, volunteers, case managers, and clients. Reporting to the Food Pantry Manager, this opportunity might also be extended past May. Hours are Monday-Thursday 9:00-4:00, and Fridays 9:00-2:00.

Responsibilities: 

  • Greet and check clients in for pantry appointments
  • Assist clients with scheduling and placing orders via PantrySoft, a web-based online ordering system
  • Manage client inquiries via phone and email
  • Prepare client materials and maintain department supplies
  • Assist with set up for client distribution and pack client orders 
  • Support the pantry home delivery program
  • Receive in-kind donations
  • Assist in training and overseeing pantry volunteers 
  • Support pantry staff in completing daily checklist tasks to ensure the most optimal process for clients and volunteers
  • Maintain necessary records and documents and keep information up to date
  • Work cooperatively with other Ark staff members and programs to maintain the organization’s mission 

Qualifications: 

  • Prior administrative experience 
  • Exceptional customer service, friendly/professional demeanor, and ability to maintain a welcoming and respectful environment 
  • Able to quickly identify potential issues and provide calm resolution
  • Constructive attitude with excellent interpersonal and communication skills 
  • Highly organized with strong aptitude for detail, effective prioritization, and ability to meet deadlines
  • Thrives in a fast-paced environment; ability to pivot quickly
  • Experience, compassion, and patience for vulnerable individuals needing extra sensitivity
  • Willing to accept and respond to critical feedback and input
  • Knowledge about Jewish customs and rules of Kashrut with willingness to learn

Skill and Physical Requirements: 

  • Comfort with Microsoft Office Suite; experience with or willingness to learn pantry software and CRM system
  • Attention to detail; superb record-keeping skills
  • Ability to communicate effectively (reading, writing, listening, speaking)
  • Ability to work independently and follow through on assigned tasks
  • Must have reliable transportation
  • Ability to lift up to 25 pounds
  • Must be able to work seated at a desk when meeting with clients

Comprehensive Benefits Overview:   

  • Pay Range: $22 per hour
  • Employment Type: Temporary, full-time position
  • Federal and all Jewish Holidays observed (no Saturday hours)
